Spatial Insight WD B.V. and its subsidiaries, hereinafter “Spatial Insight”, is a company specialized in supporting GIS and Asset Management issues. Core activities are aimed at registering, integrating and analyzing data that describes the state of a pipeline network. We work together with various partners on a wide range of projects.
Why this policy?
Spatial Insight can process your personal data when carrying out its activities. For example, when you are a customer with us, visit our website or when Spatial Insight wants to keep in touch with you. In this statement (hereinafter: “Privacy statement”) you can read which personal data we collect and why (for what purposes) we do this. You will also find information about your rights as a data subject.

- Purpose and principles of specific processing of personal data
Customers of Spatial Insight
Spatial Insight collects personal data from its customers. The collection of this data is necessary in the context of the performance of the services that Spatial Insight provides to its customers. Data that are processed are (per user) the name, e-mail address, username and password of the digital environment and the name of the customer’s organization.
Online visitors of our website
When you visit the Spatial Insight website, we process your IP address. This can be personal data. We do this to analyze how often our website is visited. We also measure visitor flows on our website and may collect information about your activities during your visit. We do this to personalize your experience of the website. Among other things, we record your preferences and settings and we collect statistical data that help us to improve and further develop our website.

The processing of personal data in connection with our marketing purposes
Spatial Insight may collect, store and use personal data in its CRM system in the context of its commercial interest. For example if you
one of the Spatial Insight employees provides your contact details, has met or has concluded an agreement with Spatial Insight as a contact person. In this regard, Spatial Insight collects the organization name of the organization for which you work, billing information, your name, position business telephone number, business email address and substantive information about contact moments.
Spatial Insight has a legitimate interest in storing this data for our commercial interests, for example, in order to provide you with better service in the future. We may contact you by telephone or by post for marketing purposes related to our services. If you let us know that you do not want to receive this form of marketing, we will respect it. For such marketing purposes, we will only approach you electronically, by email or text message, if it concerns a transactional email or if you have agreed to this.
Online or telephone contact with Spatial Insight
Spatial Insight collects your personal data when you contact us, be it via social media, by email, by telephone or post. We must use this personal data to respond to your questions and / or to provide services and / or information or products that you have requested.
The requested personal data includes your name and the contact details (such as email address, telephone number or address) that depend on how you want us to respond (by email, by telephone or by post) and your personal choices and requests.

Spatial Insight also processes data from its personnel. For example, Spatial Insight processes name, address and residence details, a copy of the identification (only relevant information), the social security number, bank details, a copy of diplomas, a copy of the CV and a copy of the employment contract (where many of the aforementioned details are processed).
Spatial Insight processes this data because it is necessary for the proper execution of the employment contract, to comply with its legal obligations (with regard to, for example, the tax authorities) and in the context of its legitimate interest (such as a copy of diplomas against fraud). Spatial Insight will only process this data for the aforementioned purposes.
Job appliance at Spatial Insight
During an application procedure we will process personal data, such as your name, address, email address, telephone number, date of birth and gender. In addition, Spatial Insight will ask for information about the courses you have followed as well as your employment history. In this context, Spatial Insight can also view a (business) social media profile such as LinkedIn. Spatial Insight will only process the data insofar as it has a legitimate interest in processing it and if the processing is necessary for the purpose of finding the right candidate for the position.
- How long do we keep data?
Spatial Insight does not store personal data longer than is necessary for the purpose for which the personal data were obtained, unless the storage of this data is necessary for us to comply with a legal obligation. Or, because we have a legitimate interest in this, or keep this information at your request and with your permission.
Your personal data will be deleted if it appears that your email address is no longer in use, your personal data is processed on the basis of permission and you withdraw the permission, the legitimate interest on the basis of which we process personal data will lapse, and after the following stated specific terms:
Customer data is generally kept for up to 2 years after the last transaction. However, this always depends on how long it takes to identify customers for the purpose for which the data was initially collected.
We keep the data in the CRM system for as long as is necessary for our commercial interests. If there has been no contact for 5 years, we will delete your information and data.
Insofar as the information about the personnel relates to the payroll or other financial data, this information is stored no longer than during the relevant financial year + 7 years. This is Spatial Insight required by law.
Payroll tax statements and copies of IDs are kept for up to 5 years after employment. This is Spatial Insight required by law.
For other personnel information, a retention period of up to 2 years after termination of employment applies.
Settlement of complaints
Information about the settlement of questions or complaints is kept for a maximum of 2 years after settlement.
Details of applicants
The personal data processed in the context of the application procedure will be stored for a maximum of 4 weeks after completion of the application procedure. If Spatial Insight wishes to keep the personal data for longer, it will ask the applicant for permission, after which the data will be stored for a maximum of one year.
- Who are involved in the processing of your personal data and with whom do we share such data?
Within the Spatial Insight service, a contact person for carrying out activities is shown at relevant places. It also records who entered or last changed data. This data is visible within their own provision area for all users of our Spatial Insight service.
Our employees may have access to your personal data when carrying out the work. Access to personal data is only possible if this is necessary for the specific employee to perform his or her work.
We can use third parties to support our organization, whereby personal data is processed by this third party. If Spatial Insight engages such “processors”, Spatial Insight has concluded an agreement in which cases, among other things, we agree on the obligations of such a third party and also, for example, that your personal data is sufficiently protected.
Unless there is a legitimate interest or a legal obligation, Spatial Insight will otherwise not provide your personal data to third parties for commercial purposes. Except with your express permission. In that case you have the right to withdraw your consent, see chapter 7 below.
Your personal data can be processed within countries of the European Economic Area (EEA). To the extent that data processing takes place outside the EEA, Spatial Insight will take additional measures, such as the inclusion of standard contractual clauses, approved by the European Commission, for the transfer of personal data to processors established in third countries.
- What security measures do we take & obligation to report data leaks
Spatial Insight has taken appropriate technical and organizational measures, such as encryption and a login system, to protect your personal data against loss or any form of unlawful processing (hacking), unauthorized access and disclosure.
In the unlikely event of a possible data breach, we will report this (in time) to the Dutch Data Protection Authority and, where necessary, to you personally, in cases where this is necessary under the GDPR and / or other legislation.
- What are your rights?
As a data subject, you have the following rights under the GDPR:
- The right to request information about the processing of your personal data;
- The right to have your personal data transferred to another party (data portability);
- The right to change your personal data;
- The right to withdraw consent you have given;
- The right to have your data deleted if the data is no longer necessary for the purposes for which it was obtained or if you withdraw your consent. You do not always have the right to have data deleted, exceptions may apply;
- The right to restriction of processing;

It is important to Spatial Insight to point out to you that the rights described above are not absolute rights and that Spatial Insight does not have to comply with a specific request under certain circumstances. We will assess each request individually on the basis of the specific circumstances and the applicable legislation. If we cannot comply with a specific request, we will always motivate this decision to you.
If you do not agree with our decision, you can file a complaint with the Dutch Data Protection Authority or submit it to a judge. The right to object to the use of personal data for (direct) marketing purposes is, however, absolute. This means that we will always accept a request for non-direct marketing communications.

In your browser you have the option to (partially) delete cookies. How this works differs per browser.
